When it comes down to it you need to make sure any system you put in place within your business is going to work. If you are going to spend money on a product you will have to get the right one to making the process quick, easy and efficient. If your company has to keep track of many members of staff coming and going for their shifts it is easy to think that investing in a system to monitor this is key, but what systems are out there and which ones are better for your company?
There are different ways to monitor time and attendance of your staff. The traditional paper tracking method is becoming outdated due to its reliance on memory and senior staff monitoring, instead this is quickly being replaced with automated a range of clock in machine options which are fast, easy to use and track each individual member of staff daily without losing a senior member of staff to counting heads.
Automated clock in systems
The increased popularity of clock in systems has meant that the range has grown over the years. With a number of different systems it can be difficult choosing which method is best for your company. The more traditional clock card machine offers a slightly more automated system from paper tracking with a card stamped with each time in and out for an employees shift, though the use of a card swipe device can allow for a more personal and programmed monitoring. A proximity device will allow for an employee to have a faster entry into their workspace, yet a fingerprint system means that there will be no excuses of a lost card or fob and no way an employee can ask a friend to swipe them in.
Factors to consider when choosing your clock in system:
Network
Clock in systems have different storage devices and ways of connecting to the existing networks. The use of wireless technology can be a wonderful thing but if the device only works on a WAN network and you are using LAN you may have caused outgoings that turned out to be useless.
Employee size
There may be restrictions on how many employees you can add to the systems program or how many fob/cards are provided with the purchase of a system. It is worth making sure that your companys current and prospective workforce will be provided for with the new system from the start. However, if it is unlikely that your company will exceed 20 or 50 people it makes sense to stick to a device like the clock card machine as a more advanced system like the biometric fingerprint system would result in money being spent where it isnt needed.
Cost
With the range on the market some devices will always be more costly than others. With the fingerprint clock in system there is more technology built in and therefore more cost going into the device from the start. This method is more expensive than others but with its fool-proof methods, prohibiting people from tricking the system, allowing for more data to be stored and free from the restraints of cards, key fobs or badges which can be lost etcetera; it may be the best system for the job in the long run.
